Warranties for Treatments — Duration and Scope

The clinic's warranty covers the work of our team. The manufacturer's warranty for materials applies independently (implants: lifetime Nobel/Straumann, crowns: according to the ceramic manufacturer's terms). The condition for the warranty is regular check-ups every 6 months + hygiene treatments every 6-12 months.

Dental Implant

5 years (clinic) + lifetime (titanium manufacturer)

Full coverage of the re-implantation cost if the implant falls out due to our clinical error. The manufacturer (Nobel, Straumann, Astra Tech) replaces the titanium implant for life if it is damaged materially.

Ceramic Crown

2 years (E.max), 3 years (zirconia)

Free replacement in case of fracture, detachment, or discoloration during the warranty period. After 3 years, a paid replacement is possible with a loyalty discount.

Root Canal Treatment

1 year (free re-endodontics)

If a problem requiring re-endodontics of THE SAME tooth arises within 12 months after treatment, we perform the procedure free of charge. Condition: final crown placed within 4 weeks of endodontics + regular hygiene treatments.

Porcelain Veneers

2 years

Replacement in case of fracture (without external mechanical injury) or detachment. Patients with bruxism are required to wear a relaxation splint (warranty voided without the splint).

Hygiene + Prevention

No periodic warranty — control treatment

Hygiene is a preventive treatment repeated every 6 months. No periodic warranty, but we guarantee that we use EMS Airflow protocols + if we detect caries or subgingival calculus — we inform immediately (without additional diagnostic costs).

Clear Correct Orthodontics

Until the end of treatment + 1 year of retention

If the aligners do not achieve the planned effect (based on 3D simulation), we continue treatment with additional sets of aligners at no extra charge. After treatment — 1 year of retention with a night splint included.

What is Not Covered by the Warranty

The clinic's warranty is a commitment to the quality of work — it does not cover situations arising from factors beyond our control:

🚭 Smoking After Implant

Smoking tobacco after implant placement (within the first 3 months of healing) reduces the effectiveness of osseointegration by 30-50%. Patients who smoke during the healing period are not covered by the implant warranty.

🦷 Lack of Hygiene Treatments

The warranty is valid provided that regular hygiene visits (every 6 months) and control visits (every 6-12 months depending on the procedure) are maintained. Lack of control for more than 18 months automatically voids the warranty.

🚨 Mechanical Injuries

Impacts, accidents, biting hard objects (ice cubes, rice stones, pens), bruxism without a protective splint. Crowns and veneers damaged due to external injury are not covered by the warranty.

RODO, GDPR, and Medical Data Security

Your medical data is the foundation of trust — we protect it in accordance with RODO and the Polish Patient Rights Act.

  • 📋 Medical documentation stored for 20 years (according to Article 29 of the Patient Rights Act from 2008).
  • 🔐 Data encrypted AES-256-GCM at the application level (pgcrypto-equivalent) — Supabase backup does not contain plaintext PESEL/medical history.
  • 👁️ Audit log of every access to your data for 90 days (RODO Art. 30) — we provide it upon request within 30 days.
  • 🇪🇺 Full compliance with RODO/GDPR — for patients from the EU, we issue Subject Access Requests within 30 days (Art. 15) and the right to be forgotten except for medical documentation (Art. 17.3.b).
  • 🔐 2FA TOTP + Passkeys (WebAuthn) on accounts of staff accessing patient data. Passwords verified by HaveIBeenPwned upon change.

Accepted Insurances and Policies

We issue personal invoices with the doctor's PWZ number, ICD-10 code, and procedure description in accordance with insurance requirements. For patients from abroad — invoices in the chosen language (PL/EN/DE).

We do not have a direct contract with insurers — the patient pays us, we issue a detailed invoice, and the patient submits it to their insurer. Reimbursement depends on the policy conditions and the specific health fund. Check your policy for covered procedures before your visit.

🇩🇪 Cost Reimbursement — for Patients from Germany

Patients from Germany can obtain reimbursement for dental treatment in Poland based on EU Directive 2011/24 (cross-border healthcare). Step-by-step procedure:

  1. Consult your health fund (gesetzliche oder private Krankenversicherung) before treatment. Some funds require prior approval (Vorabgenehmigung) for more expensive procedures (implants, orthodontics). Ask about Heil- und Kostenplan.

  2. Schedule a consultation with us (online or by phone). We issue a free Kostenvoranschlag (estimate) in German after the first visit — you can present it to your health fund for pre-approval.

  3. After the procedure, you receive a detailed invoice in a format compliant with BEMA (Bewertungsmaßstab zahnärztlicher Leistungen) or GOZ (Gebührenordnung für Zahnärzte) — with procedure codes, material descriptions, and costs in EUR (exchange rate on the day of the procedure) and PLN.

  4. You submit the invoice to your health fund along with the Heil- und Kostenplan. Reimbursement: up to the amount of Polish BEMA/GOZ rates (approximately 60-90% of the treatment cost in Poland for most standard procedures). Implants and aesthetics may require additional Zahnzusatzversicherung policy.

Standard reimbursement time from the health fund: 4-8 weeks from the submission of the invoice. If the fund denies part or all of the reimbursement — we will assist in preparing an appeal (Widerspruch) based on EU Directive 2011/24.

Frequently Asked Questions About Warranties

Does the warranty apply if I live abroad?

Yes — the clinic's warranty applies regardless of the patient's place of residence. If you live in Germany, the UK, or another country and a warranty-covered problem arises, you can come to Opole for re-treatment without additional fees for work (travel costs are not covered). Alternatively — we issue detailed diagnostic documents (X-rays, description, treatment plan) to present to a local dentist if you decide to treat locally (local treatment costs are not covered by our warranty).

What if I change clinics and then a problem arises?

The clinic's warranty requires regular control visits with us (every 6-12 months depending on the procedure) + hygiene treatments every 6 months. If you switch to another clinic, the warranty is voided — we cannot be responsible for the quality of work not performed by our team. If the problem arose due to previous treatment with us (before changing clinics), we assess it individually based on documentation.

Can I get an extension of the warranty for an additional fee?

Currently, we do not offer paid warranty extensions. All conditions are fixed and cover the standard scope for each group of procedures. Manufacturers (Nobel, Straumann, Ivoclar Vivadent) offer their own extended warranties for implants/ceramics — details are provided along with the material origin certificate after the procedure.

What exactly do you issue for German health funds?

Standard: personal invoice in German, BEMA or GOZ format (depending on the type of fund), with procedure codes, material descriptions, costs in EUR and PLN, date of the procedure, doctor's signature, and PWZ number. For patients requiring Vorabgenehmigung — Kostenvoranschlag (estimate before treatment) with a step-by-step treatment plan. All free of charge — this is the standard of our service for patients from Germany.

Does NFZ cover your treatments?

Mikrostomart is a commercial clinic — we do not have a contract with NFZ. All procedures are 100% payable according to our price list. NFZ only covers basic treatment in clinics with a contract (list at nfz.gov.pl). Your private health insurance (Allianz, Medicover, LUX MED) may partially cover our services — check with your insurer before your visit.

How long do you keep my medical documentation?

20 years from the last visit (according to Article 29, paragraph 1 of the Polish Patient Rights Act from 2008). During this time, you have the right to a full copy of the documentation (Subject Access Request — RODO Art. 15) — we issue it within 30 days of the request in electronic (JSON + PDF) or paper form. After 20 years, the documentation is destroyed according to protocol.

Does the warranty cover anesthesia costs for re-treatment?

Yes — if the problem is covered by the warranty, we cover ALL costs of re-treatment: local anesthesia (The Wand), materials, doctor's time, any additional control X-rays. The patient only pays if they choose pharmacological sedation or nitrous oxide as an additional comfort option (not medically required).

Where do I report a warranty complaint?

The fastest way: by phone 570-270-470 (Mon-Fri 8-19) or by email gabinet@mikrostomart.pl. Describe the problem + attach photos (if visible) + date of the original procedure (or patient number from the e-card). We respond within 24 working hours. Control visit under warranty — within 7-14 days of reporting.
